Roles: Admin Plans: Starter, Pro, Advanced, Enterprise

About This Task

Update the current user list of your workspace by removing users who are no longer working there or assigning a new role to an existing user. The user management is workspace-specific, and changes are not applied to other workspaces.

User Roles Overview

Each user of your workspace has a role that defines their permissions in your workspace. The permissions govern which actions a user can perform in your workspace and which functional areas they can access. For example, the Admin Panel can only be accessed by users with the Admin.
Editor
Most basic user role. The user has the right to view and edit products and revisions.
Reviewer
User role with more responsibility. The user has all the rights of an Editor. Additionally, they can accept, reject, and publish revisions, progressing the revision workflow, and manage Documentation Portals in the Portal Explorer.
Admin
User role with complete control of the workspace. The user has all the rights of a Reviewer. Additionally, they can access the Admin Panel to change the workspace settings or manage users and themes. Workspaces must have at least one Admin.

Instructions

  1. Arrow pointing to the right. On the navigation sidebar, click "Manage Workspace" .
    Check mark. The workspace settings open.
  2. Arrow pointing to the right. Click at "User Management" Arrow pointing to the right..
    Check mark. The user management opens and shows the list of current users.
  • Change User Role
    1. Arrow pointing to the right. Click on the role dropdown menu of the user and select their new role.
      Check mark. The confirmation window opens asking for your confirmation.
    2. Arrow pointing to the right. Click "OK" to confirm the role change.
      Check mark. The user is assigned the new role.
  • Remove User From Workspace
    1. Arrow pointing to the right. Select the user(s).
    2. Arrow pointing to the right. Click "Remove Selected".
      Check mark. The confirmation window opens asking for your confirmation.
    3. Arrow pointing to the right. Click "OK" to remove the user.
      The user's account is not deleted in this process, and the user can work in other workspaces as before.
      Check mark. The user is removed from the user list of your workspace.
